Place your event in the hands of an expert.

When choosing an event planner, it is important to ask in depth questions. You need to understand the entire process involved in event planning and know exactly how your budget will be spent. Hiring an event planner means placing your event in the hands of an expert – provided you choose the right one. You can then relax, safe in the knowledge that all eventualities will be taken care of and your event will be designed, planned, prepared and staged with keen attention to detail.

Here are FAQs for you to ask when interviewing event planners in order to help you receive the best service possible.

What are your areas of expertise?

They should be happy to provide references and testimonials.

Do I need event planning?

An experienced event planner can save you time and money. They can provide reputable suppliers and vendors, negotiate rates, discounts, terms, and conditions on your behalf and coordinate all aspects of your event. Depending on your budget, the right event planner can take away stress and worry and give you peace of mind to enjoy your event.

What factors should you consider when selecting a venue?

Consider the size and capacity of venue needed for the number of guests, facilities provided, parking, technical needs, and budget constraints. We suggest visit multiple venues to check on the quality of the facilities and narrow down to top three or final two before making commitment.

What services do you offer?

Every event is unique and they should have the capacity to fulfill all aspects of your requirements.

What is the difference between event design and event planning?

Event design and event planning work hand in hand to deliver a successful event. Event design is about bringing your event to life with appropriate colors, themes, seating, etc., whereas event planning coordinates the logistic elements and budget management.

How early do we need to start planning an event?

While this obviously depends on the size and nature of the event, we would always advise you to start putting plans in place as early as possible. Certain venues may need to be booked well over a year in advance for you to get the date you want.

What are your fees?

Get an estimate in writing before you agree to terms. Make sure you understand potential add on costs.

How do you keep budgets on track?

Event planners should be meticulous about keeping track of everything we need to spend money on. This is done by constant monitoring and updating spreadsheets, knowing where to prioritize spending and keeping aside a budget to cater for any emergency contingencies that may arise.

Can you cope with last minute changes of plan or emergency situations?

If one thing this Covid World has taught is that plans change. Whether you are working with an event planner or not; make sure you put contingency plans in all your contracts with the venues and key vendors and suppliers. While reserving a date for you effectively eliminates them from selling their services for that day thereby justifying a non-refundable deposit, they need to be flexible and willing to work with you on situations that could not be foreseen. Have this spelled out and understood by all parties before committing.
